Clean Text Before You Paste It Into a Form

Remove accidental line breaks, extra spaces and confusing formatting while keeping the meaning.

Original guide · Updated October 2026

Text copied from PDFs and web pages often contains hidden line breaks or repeated spaces. Cleaning it before pasting can prevent validation errors and improve readability.

Keep a source copy

Paste the original into a separate note before cleaning. This lets you compare changes and restore a sentence if the formatting was meaningful.

Change one thing at a time

Remove repeated spaces first, then review line breaks and punctuation. Automatic cleanup should not silently change names, codes or quoted text.

Review the final text

Read the cleaned result once as a person, not just as a string of characters. Make sure paragraphs, links and numbers still mean what you intended.
